Instructions are among the most common types of documents in technical writing.

Instructions are among the most common types of documents in technical writing. Instructions are everywhere informing readers how to make, assemble or create something. You may have followed instructions on how to log onto a computer at work, to download and use an App on your Smartphone, or how to put together furniture. It is likely that you will create instructions often in your career if not as a formal document then at least in a variety of informal written and oral communications.

Keep in mind the differences among instructions, process descriptions, and procedures:

Instructions inform readers how to assemble, make, create something or perform a specific task

Process descriptions tell how something works (e.g., how a drug works to relieve systems of seasonal allergies). While instructions are about how to use something, descriptions are about how that thing works (e.g., how to take a prescription drug vs. how that drug works in the human body).

Procedures are standardized ways of doing things in organizations.

For this assignment, you will focus on writing and designing effective instructions.

Assignment Guidelines

Choose a Technical or Scientific Topic. Begin by reviewing the assigned reading for unit 4. You will then choose your own topic for this assignment. In order to give you practice in technical writing, you must choose a technical or scientific topic. Recipes are neither technical nor scientific, and therefore, are not allowed. An appropriate topic requires a series of steps for assembly or various specific tasks to complete.  A topic relevant to nursing may be a good idea, but topics such as “checking blood pressure” “collecting a urine sample” “making a face mask” and “inserting a catheter” are too common and are not allowed for this assignment.

Choose a topic involving ten (10) or more steps. The following are a few examples of projects from previous classes:

How to set up a family budget

How to build a compost bin

How to change a car tire

How to assemble a skateboard

How to change an electrical outlet

How to perform an EKG

How to perform an ultrasound

Write to a specific audience. You must specify an audience for your instructions. In most instances, your audience should be novice–someone who has never performed the task before. Sample audiences for the instructions mentioned above include new drivers, skaters, and homeowners.

Acknowledge all sources. If you use any sources for your instructions, acknowledge your sources on an APA reference page and include this page with your instructions. If you use or adapt illustrations from another source, use APA captions and provide a reference for each illustration.

Format

Regardless of your task, you must include all of the following contents (any omission of the following contents will result in grade deductions):

Introduction. Here you will provide your readers with the following information:

Who audience in terms of its knowledge and need for the instructions

What the instructions will allow readers to do

What skill level the audience should have to perform the task successfully

What overall steps needed to complete the task (an overview of the steps)

How long the task will take

Where they should perform the task, i.e., in a well ventilated area, outside, on a flat surface, etc.

List of Materials and Tools required

Figures (Diagrams, Drawings, Photographs, Illustrations, or Tables)

Include captions for each figure

Label figures using APA guidelines

Give attribution to all figures in references

List of Steps, in chronological order, with the following characteristics:

Presentation of ten (10) or more steps with at least one or two sentences maximum

Use of imperative mood, i.e., “Attach the red wire” rather than “The red wire is attached.” With the second, passive sentence, readers will not know whether the wire is already attached or if they need to attach the wire.

Presentation of one specific action per step only, e.g., “Turn the knob one complete turn.” and not an elaboration or comment, e.g., “Turning the knob will result in a better fit.”

Use of the second person (you)

Inclusion of all necessary warnings or cautions before readers will encounter problems

Attention to parallel form (see page 97 in the course textbook)

And, if needed, your instructions should also contain:

Warnings

Glossary of terms

References

Appendices

Document Design and Figures

Give careful thought to figures and design elements that will make your instructions effective.

Make sure all of your steps are numbered, 1-2-3, throughout

Single space the text in paragraphs

You must include two figures. You may create your own or adapt from other sources. Make sure you provide figure information for each one and document with APA standards

Use as many of the four basic design principles, CRAP, as possible

Design your document for consistency (grid patterns, margins, justification, negative space, indentation, typeface, font style and size)

Design your document for navigation and emphasis (headings, color, shading, boldface, italic, and underlining, bulleted and numbered lists)

You must use a two-column format

Ref: What Skills Does a Good KM Manager Possess

The organization has approved a Knowledge Management Manager to join the staff and collaborate with the IT department. The KM manager is a crucial human resource to Global Delivery Direct because he will contribute to eliminating the information management challenges in the company. Therefore, it is imperative to determine the functions and tasks for KM to ensure this position assists in improving knowledge management to allow GDD to gain a competitive edge.

The following are the functions of the KM manager:

The KM manager communicates and collaborates with the IT department staff to plan and initiate database technologies. The information systems link organizational members and expedite receiving, processing, and sharing of knowledge (Dalkir,2011). In this way, the organization identifies and solves operational problems effortlessly.

The KM managers implement library and information sciences to enable organizational stakeholders like Helmut, Harry, and Imogine to receive relevant technical knowledge. The workers process the information and apply it accordingly. Also, the KM manager encourages the employees to provide their tacit knowledge to the library to increase the expert information needed to solve operational challenges (Jacobson, 2022). Subsequently, GDD gains a competitive edge in the logistics industry.

KM manager plans and informs employees regarding technical writing. The KM manager explains the essentiality of the writing exercise. Also, the KM person provides the materials and a conducive environment for workers to write about their technical experiences, gained knowledge, and applicability in the operations (Dalkir, 2011). Technical writing is vital because it prevents the organization from struggling with memory loss of its elite employees like Harry Hartfield, having served the company as an aero engineer for 15 years.

The KM manager will establish systems to enable employees to receive the necessary information to execute daily operations. Help desk systems will facilitate the staff to enquire about missing knowledge and expertise (Dalkir, 2011). The system will allow faster feedback to the inquiries, and workers can resume their work satisfied with the information.

The following are the Tasks of the KM manager:

The KM manager monitors the collaboration between the IT department and the rest of the staff to ensure efficient knowledge distribution and application (Dananorton et al., 2007)

The KM manager plans socialization in the organization to enable employees to share their work experiences and technical and tacit knowledge (Jacobson, 2022). Socialization is part of the SECI model that expedites individuals to exploit explicit and implicit knowledge in the organization.

The KM manager ensures workers can access collaborative technologies to provide information and receive relevant feedback (Dalkir, 2011). As a result, no employee can leave the organization because of limited knowledge tapping and distribution.

The KM manager documents knowledge and collaborates with the IT department to preserve it in web and AI technologies (Dalkir, 2011). Documentation and knowledge management ensures faster data retrieval, processing, and application.

The KM manager should be well-versed in logistics and global delivery services. GDD has had cases of employees like Fredrick Helmut hoarding knowledge needed to accomplish business objectives. The company has continued to record an increase in employee turnover. The primary complaint of the absent workers is limited information to complete their work assignments. Such staffs are frustrated and prefer to avoid work because they record undesirable performance because of others’ unwillingness to share knowledge. An increased turnover of the elite staff members is another problem from the lack of a KM manager. Employees like Amid Jordan have left the organization because they do not have adequate information to fulfill their obligations. Therefore, a KM manager should join the workforce and mitigate the illustrated operational challenges.

Job Description for the KM manager’s Immediate and Futuristic Skills:

Should possess efficient communication and interpersonal skills to manage data sharing in the organization

Should have collaborative capacities to enable him to engage the IT department to utilize the software to manage technical knowledge

Should have IT expertise to expedite his understanding of how to manage AI, web, and other online resources

Should have critical-thinking capabilities to enable him to identify knowledge problems and eliminate them on time (Dananorton et al., 2007)

Should possess problem-solving skills to prevent increased employee turnover, information hoarding, and resignation

Should have futuristic technology and AI expertise to ensure future tacit and implicit knowledge harnessing and distribution

Should observe diversity and inclusive because future success depends on employee sense of belonging and contribution, regardless of race, socio-economic background, and ethnicity

In conclusion, the KM manager should possess the listed skills because GDD is a corporation focused on gaining a business advantage in the logistics industry. Therefore, the KM manager should have personal and professional skills that enable him to assist GDD achieve its commercial objectives. Essentially, these skills should contribute to eliminating information hoard. Also, the capacities should expedite eradicating the problem of employee turnover. The KM manager should ensure workers access all relevant implicit and tacit knowledge. The KM should collaborate with the organizational IT department and leadership to ensure employees are satisfied and prevent further resignation.

Sincerely,

Jane Clive
